How to Integrate to QuickBooks Online
The QuickBooks Online integration helps your finance team easily reconcile gifts and keeps your accounting accurate.
Steps To Set Up The QuickBooks Online Integration:
1. Connect My Well to QuickBooks Online
- Sign into the My Well Admin Portal for your organization.
- Navigate to the Integrations section and choose QuickBooks Online.
- Click the Sign In with QuickBooks button. This will redirect you to Intuit's sign-in page.
- Log in using your church's QuickBooks Online administrator account.
- Allow My Well to access your QuickBooks Online data.
2. Configure Your QuickBooks Accounts
Once connected, you need to specify which QuickBooks accounts My Well should use for syncing data:
- Bank Account (Required): Select the QuickBooks bank account where My Well deposits should be recorded.
- Default Income Account (Required): Select the default income account for donations. You can override this on a per-fund basis later.
- Expense Account (Optional): Optionally select the QuickBooks expense account where monthly My Well processing fees will be recorded.
These settings ensure that giving deposits, income, and fees are correctly tracked in your financial system.
3. Map Your My Well Funds to QuickBooks Income Accounts
- Assign each of your My Well giving funds to a specific QuickBooks income account.
- This mapping ensures that when gifts are synced, the income posts to the correct accounts in QuickBooks.
- It also allows for detailed financial reporting by fund.
4. Set Sync Settings
Choose how your giving data syncs to QuickBooks:
- Sync Mode: Options like syncing summarized deposits or individual transactions.
- Donor Information: Decide whether to include donor phone numbers and addresses on synced records.
- These settings control the level of detail and data included in each sync.
Using the Integration
- After setup, My Well will automatically sync new giving batches and transactions to QuickBooks based on your sync schedule.
- You can monitor the sync status and any failed transactions within the integration management page.
- Update account mappings or sync settings anytime to adjust how data flows to QuickBooks.
Troubleshooting and Tips
- If QuickBooks accounts do not appear during setup, verify your QuickBooks Online permissions.
- Ensure you are using a QuickBooks Online administrator account for OAuth authorization.
- Review failing syncs highlighted on the integration page, and adjust mapping or settings as needed.
- My Well does not sync historical data by default—only new gifts and batches after integration setup.
